How to Make a VAT Invoice in the UAE (What Must Be on It)

What a UAE tax invoice must show, when a simplified invoice is allowed, how to work out 5% VAT step by step, and the invoice mistakes small businesses make.

Why the invoice format matters

Once your business is registered for VAT in the UAE, every taxable sale needs a proper tax invoice. It is not just a bill: it is the document your customer relies on to reclaim the VAT they paid you, and the record the Federal Tax Authority (FTA) checks if it reviews your returns.

An invoice that is missing a required detail can mean your customer cannot recover their VAT, which leads to disputes, delayed payments and corrections. Getting the layout right once, as a template, saves all of that.

This guide covers the well-established basics. VAT rules are updated from time to time, so confirm the current requirements on the FTA website (tax.gov.ae) or with a registered tax agent before relying on them.

What a full tax invoice must show

The words “Tax Invoice” clearly displayed at the top.

Your business name, address and Tax Registration Number (TRN).

Your customer's name and address, and their TRN if they are VAT-registered.

A unique, sequential invoice number, and the date the invoice is issued. If the date of supply (when goods were delivered or the service was done) is different, show that too.

A description of each item or service, with quantity, unit price, the VAT rate applied and the amount of each line before VAT.

Any discount given, the total before VAT, the VAT amount in UAE dirhams (AED), and the total amount payable.

If you invoice in another currency, the VAT amount must still be shown in AED, along with the exchange rate you used. Where the customer is responsible for the VAT under the reverse-charge rules, the invoice should say so.

When a simplified tax invoice is enough

The rules allow a shorter “simplified tax invoice” in two main cases: when the customer is not registered for VAT, or when the customer is registered but the value of the supply does not exceed AED 10,000.

A simplified invoice still needs the words “Tax Invoice”, your name, address and TRN, the date, a description of what was sold, and the total amount with the VAT included or shown. It is typical for shops, salons and restaurants serving walk-in customers.

If a business customer asks for a full tax invoice so they can reclaim VAT, issue one. A till receipt that does not show your TRN is not a tax invoice.

Step by step: building your invoice template

1. Put your header in once: “Tax Invoice”, business name, address, phone and TRN.

2. Set up automatic, sequential numbering — for example INV-2026-0001, INV-2026-0002 — and never reuse or skip numbers.

3. Add customer fields: name, address and TRN (leave the TRN blank for unregistered customers).

4. Build the line table: description, quantity, unit price, discount, net amount, VAT rate and VAT amount.

5. Add a totals block: total before VAT, total VAT in AED, and total payable.

6. Add payment terms and bank details at the bottom, and save a copy of every invoice you issue.

Issue the invoice promptly. The FTA's general rule is that a tax invoice is issued within 14 days of the date of supply.

A worked example with real numbers

A stationery supplier delivers to a VAT-registered company: 40 boxes of A4 paper at AED 95 each, with a 5% discount on the paper, plus a delivery charge of AED 200. The standard VAT rate in the UAE has been 5% since VAT started on 1 January 2018.

Paper: 40 × 95 = AED 3,800. Discount: 5% of 3,800 = AED 190, so the paper comes to 3,800 − 190 = AED 3,610.

Total before VAT: 3,610 + 200 = AED 3,810. VAT at 5%: 3,810 × 0.05 = AED 190.50. Total payable: 3,810 + 190.50 = AED 4,000.50.

Notice that the discount is taken off before VAT is worked out. Charging VAT on the undiscounted price would overcharge the customer by 5% of 190, which is AED 9.50.

Working backwards from a VAT-inclusive price is just as common. If a customer paid AED 1,050 including VAT, the price before VAT is 1,050 ÷ 1.05 = AED 1,000 and the VAT is AED 50. A quick shortcut: the VAT inside any 5%-inclusive price is that price × 5 ÷ 105. Taking 5% of 1,050 (AED 52.50) is a common mistake.

Common mistakes to avoid

Leaving out your TRN, or typing it wrongly on the template so every invoice carries the error.

Showing the VAT only in US dollars or another currency, without the AED amount and exchange rate.

Editing or deleting an invoice that has already been sent. If something was wrong, or goods come back, issue a tax credit note that refers to the original invoice instead.

Gaps or duplicates in invoice numbers, which make records hard to defend.

Rounding each line differently from the total, so the VAT on the invoice does not match your VAT return.

Charging VAT before you are registered or after your registration is cancelled — only VAT-registered businesses may charge it.

Not keeping copies. Keep invoices, credit notes and supplier invoices for as long as the FTA requires, which is generally at least five years.

A note on e-invoicing and Pakistan

The UAE has announced a national electronic invoicing system that is being introduced in phases. Check the Ministry of Finance and FTA announcements to see when it applies to your business, because it may change how invoices must be issued and sent.

If you also trade in Pakistan, sales tax invoices follow different rules depending on whether goods or services are involved and which province you are in. Confirm requirements with the FBR or your provincial revenue authority rather than reusing a UAE template.

How MyToolers can help

For quick checks, the free percentage calculator works out 5% of any amount, or a price increased by 5%, as you type — useful for confirming the VAT line before an invoice goes out.

If you raise invoices every week, OneFlow keeps every invoice with its client, dates, status, amount collected and balance, records the client's tax number, shows VAT charged each month, and groups unpaid invoices by how late they are — so you can see who to chase first. You can try it in the live demo.
