How to Take and Track Customer Orders on WhatsApp Business

Set up WhatsApp Business for orders, keep a simple order sheet, check cash on delivery with a worked example, and avoid the mistakes that lose orders.

Why WhatsApp orders get lost

For many home bakeries, cloud kitchens, clothing sellers and small shops in the UAE and Pakistan, WhatsApp is the order counter. Customers already use it, and it costs nothing to start.

The problem starts when orders pick up. Orders arrive mixed in with greetings, voice notes and questions. Two people answer the same phone. A customer changes the address in a message three days later, a payment screenshot gets buried, and on a busy evening nobody is sure which orders went out and which are still waiting. Nothing is wrong with WhatsApp — it is a chat app, not an order book. The fix is to use a few built-in features and keep one simple record next to it.

Step 1: Set up the WhatsApp Business app properly

Use the free WhatsApp Business app rather than a personal account. It lets you add a business profile with your address, hours, website and description, so customers see the basics without asking. Menu names below can differ slightly between Android and iPhone and between app versions.

Catalogue: add your products or menu items with a photo, price and short description. Customers can browse and send you the item they want, which removes most “how much is this?” messages.

Quick replies: save the messages you type every day — prices for delivery areas, bank details, “your order is confirmed” — and send them with a short shortcut instead of retyping.

Greeting and away messages: an automatic greeting can ask new customers for the details you need, and an away message tells late-night customers when you will reply.

Labels: tag each chat with its stage, such as New order, Confirmed, Paid, Out for delivery and Delivered. You can then filter chats by label and see at a glance what is still open.

Step 2: Ask for the same details every time

Most mistakes come from missing information. Save an order-format quick reply and send it to every customer who wants to order: name, phone number, full address or location pin, items and quantities, preferred delivery date and time, and payment method (cash on delivery or bank transfer).

When the customer replies, send back a short confirmation with an order number, the items, the total including delivery, and the delivery time. Ask them to reply “OK”. That one message settles most later disputes.

Order numbers do not need software. A date plus a counter works well — for example 2910-01, 2910-02 for the first and second orders on 29 October. Ask customers to quote the number when they send a payment screenshot.

Step 3: Keep one order sheet

Next to WhatsApp, keep one list of every order — a notebook, a shared spreadsheet or an order app. Useful columns are: order number, date, customer, phone, items, total, payment method, amount paid in advance, status and rider.

The rule that makes it work: an order is not confirmed until it is on the sheet. If two people handle the phone, both write to the same sheet, so nothing is counted twice or forgotten. At the end of the day the sheet, not the chat history, tells you what you sold.

A worked example: checking one day's cash

A home bakery in Lahore records six orders on Saturday. Order 01: chocolate cake, PKR 4,800, paid by bank transfer. Order 02: vanilla cake and cupcakes, 2,200 + 1,800 = PKR 4,000, cash on delivery. Order 03: custom cake, PKR 7,500, with a 50% advance of PKR 3,750 by transfer and the remaining PKR 3,750 in cash on delivery. Order 04: cupcakes, PKR 3,600, cash on delivery. Order 05: chocolate cake, PKR 2,400, by transfer. Order 06: PKR 2,200, cancelled by the customer.

Total sales, leaving out the cancelled order: 4,800 + 4,000 + 7,500 + 3,600 + 2,400 = PKR 22,300.

Received by transfer: 4,800 + 3,750 + 2,400 = PKR 10,950. These should match the bank app, one screenshot per order number.

Cash the rider should hand over: 4,000 + 3,750 + 3,600 = PKR 11,350. Check: 10,950 + 11,350 = 22,300, so every rupee of sales is accounted for.

If the rider hands over PKR 11,000, the sheet shows straight away that PKR 350 is missing, and which three orders to ask about.

Make it easy for customers to reach you

A click-to-chat link opens a WhatsApp chat with your number without the customer saving it. The format is https://wa.me/ followed by your number in international format with no plus sign, spaces or leading zero. A UAE mobile written 050 123 4567 becomes https://wa.me/971501234567, and a Pakistani mobile written 0300 1234567 becomes https://wa.me/923001234567.

You can also pre-fill the first message by adding ?text= and your message, with spaces and symbols URL-encoded — for example https://wa.me/971501234567?text=I%20want%20to%20order. Put the link on your Instagram bio, website and Google Business Profile, and print it as a QR code on flyers, menus and delivery bags.

Common mistakes to avoid

Taking orders by voice note only. Always send a written confirmation with the items and total.

Not saving payment proof against an order number, which makes month-end checks almost impossible.

Several staff answering from different phones with no shared sheet.

Forgetting delivery charges in the total, then arguing with the customer at the door.

Sending promotional broadcasts to people who never asked for them. WhatsApp's rules expect customers to have agreed to hear from you, and people who report or block a number can get it restricted. Check WhatsApp's current business policy before running offers.

Never closing orders. If cancelled and delivered orders stay unlabelled, your “open” list stops meaning anything.

How MyToolers can help

The free MyToolers QR Code Generator turns your wa.me link into a QR code you can download as a PNG for printing, and the URL Encoder makes a pre-filled message safe to use in the link. Both run in your browser.

When orders outgrow a sheet, the Restaurant Order CRM — the order system built for Mehar Momos — keeps website and WhatsApp orders on one screen, moves each order from New to Delivered, assigns riders, tracks cash on delivery or online payment, and offers one-tap WhatsApp follow-up. For offers to customers who have agreed to hear from you, WhatsApp Bulk sends WhatsApp campaigns to many contacts at scale.
