Print Shop Management Software: A Checklist Before You Buy

What print shop management software should handle — quotes, job tickets, production, presses, consumables and billing — and what to test in a demo.

Quotes and customers

Log every quote request with product, size, quantity, paper, colours and finishing; see which requests are unanswered; turn a confirmed quote into a job without typing it again; and keep each customer's history, balance and credit terms.

Job tickets and production

A complete job ticket for every order, job templates for repeat products, and a production board that shows each job's stage, its press and operator, and whether it is late.

Presses, operators and consumables

Which presses are running, idle or being serviced; who is on shift and who is free for the next run; a servicing schedule for each machine; and a record of paper, ink, plates and other consumables used.

Billing and money

Invoices raised from delivered jobs, payments by cash, transfer, card or cheque, money owed by each customer grouped by how late it is, expenses with approvals, and reports on revenue, costs and profit. Check the tax setup matches yours — VAT with TRN in the UAE, or your province's sales tax in Pakistan.

Staff

Attendance, leave and salary advances for operators and office staff, so the people side of the shop lives in the same system as the jobs.

What to test in a demo

Log a quote request, convert it into a job, find today's late jobs, check which presses are idle, record a consumable, and see how much a customer owes. If each of those takes more than a few clicks, your team won't keep using it.

Also ask: can I export my data at any time, who can see prices and costs, is setup and training included, and how is pricing calculated as the shop grows?
